AI tools & automation

Useful automation, with a person still in the loop.

Help deciding where AI or a simple automation genuinely saves time, using products that already exist, and connecting a small number of handoffs between your forms, CRM and email. Feasibility comes before any commitment.

Nothing reaches a customer without a person approving it

Illustrative handoff design. Tools, access and behaviour are confirmed during feasibility before anything is committed.

The problem

Where repetitive work tends to pile up.

  • 01Website enquiries are copied by hand into a CRM or spreadsheet.
  • 02The same three reply emails are rewritten from scratch every week.
  • 03You have tried an AI tool, but nobody is sure what it should and should not be trusted with.
  • 04A vendor promised automation, and you want an independent view before signing.

Deliverables

What a scoped project can include.

Suitability check
Which tasks are good candidates, which are not, and what risk each carries if the output is wrong.
Existing product shortlist
Established AI or automation products that fit, before anything custom is considered.
Selected handoffs
Agreed connections between a form, CRM and email, set up where access and APIs allow.
Review and testing plan
Where a person approves output, the test cases used, and how to switch a handoff off.

Use cases

Illustrative examples of scoped handoffs.

Illustrative scenarios, not client case studies.

Contact form to CRM

A new enquiry creates a CRM record with the fields you already use, flagged for a person to check.

Drafted, not sent

An AI product drafts a reply to a routine question; someone reviews and sends it from their own inbox.

Internal summaries

Long intake notes summarised for the team, with the original always kept alongside.

Engagement

How it runs.

Robert Reynolds is your primary contact throughout.

  1. 01

    Suitability conversation

What you want to change and why. Some tasks are better left manual, and we will say so.

  2. 02

    Feasibility and access

Confirm the products, API availability, account access and permissions involved before any commitment.

  3. 03

    Written scope and quote

Handoffs, review points, testing and exclusions written down, with a price.

  4. 04

    Build, test, review

Set up against agreed test cases, with you checking real-world examples before it is relied on.

Fit and boundaries

Clear about what this is, and what it is not.

A good fit for

  • Small teams with a clear, repetitive handoff
  • Businesses already using a CRM, form tool or shared inbox
  • Owners who want a person to approve anything customer-facing

Not included

  • Third-party subscriptions, usage fees and vendor support, which stay with the vendor
  • Ongoing monitoring or support unless separately agreed in writing
  • Fully autonomous decisions about customers, money or legal matters
  • Guarantees of accuracy from any AI product

Pricing. Every project is individually scoped and quoted in writing after feasibility. Third-party products are billed by their providers, and ongoing support is a separate agreement if wanted. Website plans are separate and unchanged.

Questions

Before you get in touch.

Do you build custom AI models?

No. This service uses existing AI and automation products. If a need cannot be met that way, Custom Business Software may be the better conversation.

What if the tool we use has no API?

That is exactly what feasibility checks for. If access is not available, you will know before any commitment, along with any reasonable alternatives.

Who reviews the AI output?

Someone on your team, at agreed points. Review steps are designed in from the start, not added later.

What happens if a handoff breaks later?

Handoff notes explain how it works and how to pause it. Ongoing support is only included if agreed separately in writing; vendors handle their own platforms.

Describe the handoff you repeat every week.

Robert will check suitability and access first. If an existing product already does it, that is the advice.
